1. Information We Collect
Account & Identity Data
- Name, email address, job title, and organization name provided at registration.
- Login credentials (passwords are hashed — we never store plaintext passwords).
Facility & Operations Data
- Facility names, addresses, unit counts, and access configurations.
- Lock check records, walk-through session data, issue reports, and notes.
- Photographs uploaded by staff during lock check or walk-through sessions.
Usage Data
- IP address, browser type, device type, pages visited, and session duration.
- Actions taken within the Service (login events, session starts, issue status changes).
Payment Data
Payment processing is handled entirely by Stripe. We do not store credit card numbers or bank account information. We receive only non-sensitive billing metadata (last four digits, card type, billing address).
2. How We Use Your Information
- To provide, operate, and maintain the Service.
- To authenticate users and enforce role-based access controls.
- To generate lock check records, session summaries, and issue reports.
- To send transactional emails (invoices, account alerts, password resets).
- To respond to support requests.
- To improve the Service through aggregated, de-identified analytics.
- To comply with applicable law, including CCPA obligations.
3. Legal Basis for Processing
We process personal information on the following bases: (a) performance of a contract — to deliver the Service; (b) legitimate interests — to improve, secure, and operate the Service; (c) legal obligation — to comply with applicable California and federal law; and (d) consent — where you have specifically opted in.
4. Data Sharing & Disclosure
We do not sell personal information. We share data only as follows:
- Service providers: Xano (database hosting), Stripe (payments), Google Workspace (email). Each is bound by a data processing agreement.
- Legal compliance: If required by law, court order, or valid government request.
- Business transfer: In connection with a merger, acquisition, or asset sale, with notice to affected users.
5. California Privacy Rights (CCPA)
California residents have the right to: (a) know what personal information we collect and how it is used; (b) request deletion of personal information; (c) opt out of the sale of personal information — we do not sell data; and (d) non-discrimination for exercising privacy rights.

6. Data Retention
- Active accounts: Data retained for the duration of the subscription plus 30 days post-termination.
- Deleted accounts: All personal data purged within 30 days of termination.
- Backups: Backup copies may persist for up to 90 days after deletion from active systems.
7. Data Security
We implement industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest, role-based access controls, and regular access audits. Our backend infrastructure (Xano) is SOC 2 Type II certified.
8. Cookies
We use session cookies required for authentication and a small number of analytics cookies. See our Cookie Policy for details.
9. Children's Privacy
The Service is not directed to individuals under 18 years of age. We do not knowingly collect personal information from minors.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify active subscribers of material changes via email at least 14 days before they take effect.

Terms of Service
1. Acceptance of Terms
By creating an account, accessing the Service, or signing a Beta Access Agreement, you agree to these Terms. If you do not agree, do not use the Service. These Terms apply to all users, including Admins, Supervisors, and Staff.
2. Eligibility & Account Access
- Access is invite-only. You must complete a scheduled demo call before receiving account credentials.
- You must be at least 18 years old and authorized to bind your organization to these Terms.
- You are responsible for maintaining the security of your account credentials.
- You must notify us immediately at support@lockcheckcloud.com of any unauthorized account access.
3. Permitted Use
You may use the Service solely for your organization's internal self-storage facility operations. Permitted uses include: conducting lock checks, logging walk-throughs, tracking issues, and managing facility teams.
4. Prohibited Use
- Reverse engineer, decompile, or attempt to extract source code from the Service.
- Use the Service to store or transmit unlawful, harmful, or infringing content.
- Share account credentials with individuals outside your organization.
- Use automated scripts, bots, or scrapers to access the Service.
- Resell or sublicense access to the Service.
5. Pricing, Billing & Payment
Pricing is as specified in your Beta Access Agreement or the then-current pricing page. Invoices are issued 7 days before each billing date. Payment is processed by Stripe. Late payments are subject to the suspension and termination schedule in Section 6.
6. Suspension & Termination
By the Company: We may suspend or terminate your account for material breach, non-payment, misuse, or violation of these Terms.
By you: You may cancel at any time with 30 days' written notice. Cancellation takes effect at end of the current billing period.
Upon termination, your data remains available for export for 30 days, after which it is permanently deleted.
7. Intellectual Property
Lock Check Cloud LLC retains all right, title, and interest in the Service. You receive a limited, non-exclusive, non-transferable license to use the Service during your subscription. You retain ownership of all data you submit.
8. Warranty Disclaimer
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED OR ERROR-FREE.
9. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, LOCK CHECK CLOUD LLC'S TOTAL LIABILITY FOR ANY CLAIM SHALL NOT EXCEED THE AMOUNTS PAID BY YOU IN THE THREE MONTHS PRECEDING THE CLAIM.
10. Indemnification
You agree to indemnify and hold harmless Lock Check Cloud LLC from any claims arising from your use of the Service in violation of these Terms, your violation of any law, or your infringement of any third-party rights.
11. Modifications
We may modify these Terms at any time. We will notify you of material changes via email at least 14 days before they take effect. Continued use constitutes acceptance.
12. Governing Law
These Terms are governed by the laws of the State of California. Disputes shall be resolved in state or federal courts in Los Angeles County, California.
